Abstract
Effective feedback management is essential for promoting transparency, accountability, and participatory governance in higher education institutions. However, Busitema University, a public multi-campus university in Eastern Uganda, has continued to rely on manual physical suggestion boxes for collecting stakeholder feedback, a system characterized by delayed responses, loss of submissions, poor tracking mechanisms, and limited accessibility across geographically dispersed campuses. This study therefore sought to design and implement an Electronic Box for Multi-Campus Setting to address these persistent communication and feedback management challenges.
The study adopted the Structured Systems Analysis and Design Methodology (SSADM) as its development framework. Data was collected through structured interviews, direct observation, and document review involving students, lecturers, and administrative staff drawn from multiple campuses of Busitema University. The system was developed as a web-based application using PHP, HTML5, CSS3, JavaScript, Bootstrap, and MySQL as the database management system.
The implemented system provides a centralized digital platform through which students and staff can submit suggestions anonymously or with identification, track submission statuses in real time, and receive direct responses from campus administrators. An automated routing mechanism assigns submitted suggestions to the relevant campus administrator based on campus selection, while a reporting module enables administrators to generate analytics and summary reports to support data-driven decision-making. System testing was conducted through unit testing, integration testing, user acceptance testing, and security testing, all of which confirmed that the system is functional, secure, accessible, and effective in improving institutional feedback management. The study concludes that the Electronic Box for Multi-Campus Setting successfully replaces the inefficient manual system with a transparent, inclusive, and scalable digital feedback platform capable of supporting communication across all campuses of Busitema University.
